Tenant Communication Screens for Commercial Landlords
How office and retail landlords use lobby and elevator screens to reach tenants' employees with building news, safety information and amenities.
In an office building, the landlord's relationship is with the tenant company, but the people who actually use the building are its employees. Emails to tenant contacts often never reach them. Screens in the lobby and elevator landings do.
What landlords communicate
- Building operations: HVAC work, elevator maintenance, washroom closures, water shut-offs
- Safety: fire drill dates, evacuation reminders, severe weather procedures
- Access: holiday hours, after-hours access procedures, visitor policies
- Amenities: fitness centre hours, bookable meeting rooms, bike storage, EV charging
- Community: building events, food trucks, charity drives
- Sustainability: recycling and organics guidance, energy-saving initiatives
Why screens work in offices
- Elevator wait time. Employees wait at elevators several times a day.
- Every tenant, equally. Information reaches all tenants' staff, not just whoever reads the property manager's email.
- Timely. A notice can go up in minutes and come down when it's no longer relevant.
Tenant content
Some landlords let tenants submit content: a retailer's promotion, a café's menu, a company's event in the shared conference centre. A simple policy (what's allowed, approval, how long it runs) keeps it fair. Some landlords charge for it. See selling advertising on building screens.
Placement
- Main lobby, near the directory
- Elevator landings on the ground floor and parking levels
- Typical floor elevator lobbies in multi-tenant floors
- Amenity areas
Fit and finish
Commercial lobbies are often finished in stone, wood or metal panels. Screens should be integrated cleanly, recessed into a feature wall or panel rather than bolted on, and match the building's design standard. See installing screens in concrete vs drywall.
Operations
- One person or team owns the content
- Templates for common notice types
- Scheduled start and end times on everything
- Integration with the building's emergency procedures, so urgent messages can be pushed to every screen at once
